Since its inception in 2003, the School of Professional Studies of the City University of New York (CUNY SPS) has launched sixteen degrees: ten bachelor’s degrees open to students with 24 or more college credits who wish to complete their undergraduate studies, and six master’s degrees, with more programs currently in development. CUNY SPS leads the University in developing and operating online degree programs, and trains faculty throughout CUNY in online instruction. CUNY SPS is also the home of the Joseph S. Murphy Institute for Worker Education and Labor Studies, which offers higher education programs for working adults and union members, and serves as a nationally-recognized center for scholarship and resources for labor, academic, and community leaders seeking a deeper understanding of labor and urban issues.

The Administration Specialist will be coordinating, reporting, and analyzing the student course evaluations and handling other administrative matters for the unit of Office of Faculty Development and Instructional Technology. Reporting to the Director of Office of Faculty Development and Instructional Technology (OFDIT) at CUNY SPS, the Administrative Specialist will maintain both the student course evaluation and departmental administrative processes.

Duties include but are not limited to:

  • Create templates and set up course evaluation surveys, post survey links, and related duties for collecting the data.
  • Download and manipulate course evaluation data.
  • Assemble and send reports on course evaluations for academic directors, deans, and faculty.
  • Analyze data for semester and longitudinal trends and create reports on response rates.
  • Prepare selected data on course evaluations for web posting.
  • Serve as point person to handle communications between OFDIT and other CUNY SPS units.
  • Maintain the registration, recording, and reporting processes for all faculty development training, liaison with SPS directors, Deans, Office of Faculty and Staff Resources, CUNY colleges, and other SPS units.
  • Prepare and send electronic certificates of completion for participants in faculty development workshops and coordinate all participant timesheet processes for delivery to payroll.
  • Create and maintain all unit work flow processes and email templates.
  • Assist Instructional Technology Manager in handling and tracking of multimedia accounts; liaison with IT as needed.
  • Maintain the faculty development activity log and staff project logs, compile statistics, and create reports.
  • Assist in research and evaluation projects on requested topics.
  • Analyze and compile data in different formats for reporting on programs’ statistics.
  • Schedule meetings and events, and make the needed arrangements.
  • Compose, proofread, and edit documents.

General Duties

Provides administrative and program support to an administrative or academic department.

  • Oversees department operations and assists management in planning department activities, creating schedules, assigning staff and preparing and delivering department communications.
  • Works with appropriate offices related to personnel recruitment, expediting search activities
  • Research coordinates and organizes materials for key events such as promotion and tenure reviews.
  • Supervises and trains support staff and student workers.
  • Manages budget and coordinates purchasing, accounting, and payroll.
  • Provides instructions and basic advice to students, faculty, and others seeking information on department activities, policies, and schedules.
  • Performs related duties as assigned.

Qualifications

Minimum Qualifications:

Bachelor’s Degree and four years’ relevant experience required.

Other Qualifications:

A successful candidate should have:

  • Master’s degree preferred
  • 3 years’ experience working in a higher education environment
  • Expertise in setting up, manipulating, and analyzing data with Excel
  • Experience working with Word, PDF, and PowerPoint
  • Experience with student course evaluations and database work
  • Excellent communication skills, personable, patient, discreet
  • Academic research skills and experience
  • Basic knowledge of Blackboard software and comfort learning new technologies.
