College Assistant 2, Center for the Humanities – Events Assistant

Job Description:
The College Assistant shall report to the Academic Program Specialist at The Center for the Humanities.

Duties and Responsibilities:

  • Responsible for assisting Executive Director, Academic Program Manager and Academic Program Specialist with administrative aspects of evening public event organization
  • Responsible for managing speaker hospitality for evening public events: setup and cleanup of refreshments, guest speaker welcome, collecting signed honoraria forms
  • Responsible for assisting with the delegation and supervision of Humanities Fellows staffing evening events
  • Staffs all evening events, including preparation, setup, and cleanup of promotional materials, manning PR table, managing the audio recording disk, attending to speaker requests
  • Responsible for assisting in providing a list of needs for each event to AV, facilities and catering for evening events
  • Responsible for managing registration, RSVPs and ticketing for large public events (conferences, symposia, and the Annual Chapbook Festival) and related updates to Center for the Humanities mailing lists in coordination with Academic Program Specialist and College Assistant 1
  • Responsible for assisting in communicating with event participants in advance to make travel and hotel arrangements
  • Responsible to assist in preparation financial paperwork and procure necessary signatures for processing
  • Responsible for audio and video documentation of events and working with the Archive Assistant to transfer files to our Archive

Job Skills/Requirements: The ideal candidate will have at least two years administrative experience in theater, art, or public programs. Professional experience in event planning and public programs administration, public relations, as well as some knowledge of and interest in contemporary art and literature are preferred. Demonstrated supervisory and communications skills are a plus.

Salary/ Pay Rate: Commensurate with experience, with a maximum of $21.34 per hr.
